Producing an International Conference for Global Ministry Leaders

How do you gather ministry leaders from 46 countries for a four-day conference in the Middle East?

By pairing meticulous international logistics with cultural sensitivity, so leaders can build relationships, share best practices and return home equipped and energized.

The Challenge

Through its partnership with Desiring God, the Global Resources and Training Initiative (GRTI) tasked Guardian with producing its 2025 annual meeting in Dubai, a gathering designed to strengthen relationships among content partner organizations and ministry leaders worldwide. With participants traveling from six world regions, the event required meticulous coordination of international travel logistics, local accommodations, venue setup and programming for the 154 attendees representing 106 ministries.

The challenge extended beyond logistics. Two-thirds of participants were non-Western internationals, requiring cultural sensitivity in everything from food selection to program pacing. As event producer, Guardian managed complex international logistics while creating an environment where ministry leaders could build meaningful relationships, share best practices and return home equipped and energized.

The Strategy

Working with a partner ministry in Dubai, Guardian built a comprehensive event plan that addressed every anticipated detail, from hotel accommodations and transportation logistics to venue coordination and supply gathering. This included managing all event registration, from selecting the platform and building an informative registration webpage to creating tiered pricing with discount codes to accommodate various budgets. Our guest communications plan provided consistent information to participants across multiple time zones, with pre-arrival details, daily schedules and guidance for those visiting Dubai for the first time.

Programming included panel discussions, roundtable sessions, devotions and structured networking time. We created detailed session rundowns, oversaw all technical requirements and served as the primary point of contact for all logistical questions. Recognizing the value of shared experiences, we also organized a group excursion to visit local landmarks, providing more time for cultural enrichment and relationship-building.
